Graves & Swanson, a small PI, employment, and family law firm in downtown Portland, Oregon seeks part-time legal assistant. The position is part-time for now, but hours could increase for the right candidate. Prior experience as a receptionist, paralegal, office manager, bookkeeper, or legal assistant preferred but not required. Entry-level applicants or those with limited experience are welcome to apply.

We are looking for a motivated self-starter who possesses common sense, a positive attitude, and excellent communication and organizational skills. The ideal applicant is detail-oriented, comfortable working on their own, quick to comprehend written/verbal instruction, and a fast learner. Preference will be given to individuals who have obtained certification as a Notary Public.

Duties, Functions, and Responsibilities:

Duties and responsibilities will increase over time as mastery of skills and knowledge is attained.

Duties will generally progress as follows:
-Answer incoming calls and take messages;
-Maintain good public relations with clients and opposing counsel;
-Filing (physical paper files and electronic files) and scanning;
-Mail (incoming, outgoing, and certified);
-Scheduling appointments;
-Calendaring;
-Draft correspondence;
-Prepare billing statements;
-Conduct phone consults with clients;
-Manage documents and records using case management software (CLIO);
-E-filing;
-Assist attorneys with preparing pleadings, motions, and other legal documents as assigned.

Required Skills:
-Advanced proficiency in Word, Adobe, and Excel.
-Proficiency with PCs and printers.
-Excellent verbal and written communication skills including spelling, grammar, and editing.
-Ability to quickly understand and follow instructions (written and verbal) and complete projects independently.
-Excellent organizational skills, including filing, record-keeping, and note/minute taking.
-Effective time-management, prioritization, and multi-tasking skills.
-Demonstrates independent judgment, self-motivation, and ability to work well under pressure or with short deadlines.
-Ability to maintain confidentiality of highly sensitive materials and information.
-Proven skills in maintaining tact and diplomacy dealing with clients/customers, the general public, and public figures when responding to complex inquiries.
